The Vrbo Inbox in your Owner Dashboard helps you manage reservations and efficiently communicate with guests.

Note for Integrated Property Managers (IPMs): If you don’t use the Messaging API, you can message guests either through the Vrbo inbox or your channel manager.

 

Filtering your inbox 

Select Filters to sort messages by:

  • Message status (unread, archived)
  • Guest requests (cancellation requests)
  • Reservation status

You can also find a reservation by entering the guest’s name or reservation ID (Res ID) in the search box.

 

Inbox details

  • Guest: Displays the guest’s name.
    • Use the column header to sort alphabetically by last name.
    • Contact details appear once the reservation is confirmed.
  • Status: Shows the reservation status and a response timer for booking requests and inquiries.
  • Dates: Displays the guest’s requested stay dates.
  • Details: Shows a preview of the most recent message and important booking information, such as guest count and property name.
  • Received: Shows when the last guest message was received. Active booking requests always appear at the top.

 

Messaging guests

Select any message to reply. You can include:

  • File attachments: Add images, PDFs, or other documents.
  • Templates: Use pre-written responses to answer common questions and improve your booking success.

You can also schedule templates to automatically send messages at specific times, such as the day before check-in or immediately after a traveler books your property.

Inbox status

Description

Inquiry

A message sent by a guest using the “Contact Host” button on your listing.

Booking request

A guest’s request to book your property (if you're on 24-hour review). A timer shows how long you have to respond.

  • Booked: Accepted or manually added
  • Declined: A declined reservation request
  • Timed out: Not accepted or declined within 24 hours

Pre-approved

A tentative reservation that doesn’t block your calendar. It expires after three days if unpaid. Becomes confirmed once paid.

Note for IPMs: You can’t pre-approve in the Vrbo Owner Dashboard. Please check with your software provider.

Booked

The confirmed reservation hasn’t started yet.

Arriving today

The guest is scheduled to check in today.

Current stay

The guest is currently staying at your property.

Checking out

The guest is scheduled to check out today.

Post stay

The reservation has been completed.

Canceled

The reservation or pre-approval was canceled.
