Connecting your property management software (PMS) to your Vrbo account allows you to manage listings from one system and automatically distribute updates across all connected channels.

This article explains what you need to prepare and what to expect during the onboarding and integration process.

 

Before onboarding

Before starting onboarding, make sure you have the following information ready:

  • Company name 
  • Primary point of contact for account setup, and their contact information
  • Your connectivity provider for integration and the software account ID
  • Total number of listings you manage
  • A credit card on file (required for Vrbo integration)
  • If you already have a Vrbo (or affiliate brand) account, confirm the email address associated with that account
  • Confirm in your software:
    • Vrbo is enabled as a channel partner
    • Properties are enabled to send data to Vrbo
    • Payment processor and currency are set up
  • If you are in one of the following locations, confirm the required tax identifier:
    • Brazil: Active Cadastro Nacional da Pessoa Jurídica (CNPJ) number
    • Europe: Value-Added Tax (VAT) number or Professional Tax Identifier
    • Quebec: VAT number

Important: After integration is complete, you are responsible for collecting guest payments and remitting the required taxes, unless you use Vrbo Payments. For more details, see About Vrbo software integration using connectivity providers.

 

Onboarding options

You can onboard with Vrbo using a self‑service option or by working directly with your Account Manager.

Self-Service Onboarding (SSO)

To simplify onboarding and automate setup, your software provider or Vrbo Account Manager will send you an SSO link. Integration is usually completed within 24 hours.

  1. At the end of this page, select Contact Us.
  2. Select I’m a Property Manager.
  3. Select Software Integration.
  4. Select Call or Email.

Onboarding with your Account Manager

If you have an assigned Vrbo Account Manager, you can contact them directly to start onboarding. The integration process usually takes up to five business days.

 

Onboarding phases

1. Project kickoff

An Onboarding Specialist will contact you to ensure each listing meets the minimum requirements:

  • Headline is at least 20 characters
  • Description is at least 400 characters
  • At least 1 bedroom and 1 bathroom
  • At least 6 photos
  • A valid property address
  • Accurate rates and calendar
  • A cancellation policy
  • A payment processor
  • Cancellation agreements set up in your software

2. Account setup

Ensure listing information, rates, calendars, and reviews are set up correctly: 

  • Account consolidation: If you have multiple accounts on Vrbo, consolidate them before integration.
  • Listing ID mapping: If you have live listings on Vrbo, match your Listing IDs in your software with the existing Vrbo IDs.
  • Reservation ID mapping: If you are switching from one software to another, match each Reservation ID from your previous software with the new one.

3. Integration enablement and testing

After mapping is complete, the Onboarding Specialist will enable the feed from your software to Vrbo and run tests to confirm the integration is working.

4. Training and optimization

Once your listings are live on Vrbo, the Onboarding Specialist will schedule a call or send you an email to review your listings, answer your questions, and share best practices for booking optimization.
